Details will be much the same again as for the last four years, as below.

The numbers this last February 2010 ended up about 240, allowing for some general public (Town and District Councillors, local community people - even a magician!). The breakdown was roughly just under the 200 mark for Group Organisers and just under 40 accommodation providers collecting literature. That's the biggest number of group organisers we've ever had, by far.

Working with Saint Hill Manor, Sussex Top Attractions brings you again this Spring - a combined leaflet exchange/brochure giveaway and a Group Visits/Days Out Fair, on Friday February 18th 2011, for everyone STA member or otherwise.

BROCHURE GIVEAWAY
For those of you who are familiar with the Michelham Priory brochure giveaway (Thurs March 17th  2011), all you need to know is that the brochure giveaway at Saint Hill Manor is run on the same lines.  

         
The Group Visits event and Brochure Giveaway will be held in the building on the left.
There is ramp access for wheelchairs, trolleys.

 

THE DAYS OUT/GROUP VISITS FAIRS
First, to emphasise this is not in competition with the Tourism South East (TSE) Group Travel Fairs.  This event is complementary to, and in addition to, the TSE Group Travel Fairs at Denbies Wine Estate near Dorking and the Royal Marines Museum at Southsea near Portsmouth in February 2011.

WHERE?
At Saint Hill Manor, approx 2 miles south west of East Grinstead.  Full postal address:  Saint Hill Manor, Saint Hill Road, East Grinstead, West Sussex  RH19 4JY      For a map see www.streetmap.co.uk  and enter the postcode.  
OS map ref:  TQ 381359   It is very close to the NT property Standen.

The day's events will be held in the Great Hall at Saint Hill Manor.

WHEN?
Friday February 18th 2011.  The Brochure Giveaway and the Days Out/Group Visits Fair will run concurrently between 10am - 1pm.

The Great Hall will be open from 8.30am for set up, plus between 2pm - 6pm on the day before (Thursday).

HOW?
The emphasis is on simplicity and informality, which enables us to cut costs significantly.
The standard offer is table space of about 4 feet (122cm) wide by 2 feet 6 inches (76cm) front to back.

COST?
This means that the cost for the whole event can be just £75 plus VAT ruling at the time of invoice.  For STA members this is already included in their membership sub. for the year.
You can of course book 2 spaces adjacent if you need more room, cost £150 plus VAT, but see below under BOOKING.

WHAT'S THE CATCH?
There isn't one.  The low cost is due to the informality proposed and the generosity and helpfulness of Saint Hill Manor.  There's no space, no provision, for display stands.  If you really want display space, then you need to book a double space at £150 and use the extra table surface for table-mounted display.  There is no room at all for displays which are floor-mounted or floor-based.  There is no provision for supply of electricity to your table top.  But the whole building and all the tables are very well lit.

MORE DETAIL
You can park temporarily outside the Great Hall to unload after 8.30am on the Friday.  There is ramp access for trolleys and wheelchairs.  Then there is more than ample car parking space a short distance away on the site.

Everything takes places within one building - the event, refreshments, toilets.

You will be very comfortable - the Great Hall is spacious, wall-to-wall carpeted, with oak-panelled walls, plus air-conditioning, under-floor heating, good lighting, a P A system.  The refreshment area is indoors immediately outside the Great Hall.  

REFRESHMENT
There will be free tea, coffee and biscuits for stand-holders and visitors all day.  There will be free refreshment for stand-holders in the middle of the day.  There will be plenty of tables and chairs to sit at, to enjoy it.

RAFFLE
Saint Hill Manor has organised the following.  When visitors arrive at the door to the Great Hall, they will be greeted and there will be raffle tickets on the reception desk.  A notice will show the list of prizes.  Each visitor (if they wish to) can take one and write their name and address on the back (useful for later!...).  All these tickets at the end of the day will be put into a hat and the winning tickets are drawn – this can be done on the stage at the end of the day - or not necessarily in public as the winners will most likely not be still around so they get their prizes sent to them in the post.  

BOOKING
Just call or preferably Email - info@sussextopattractions.co.uk and I will invoice you for £75 or £150 plus VAT as appropriate.  It will help if you book early because a list of stand-holders on the public web site will encourage visitors to come, provided sufficient of you book.  At £75 a space for the day, we think this ought to be a sell-out.  We reserve the right to reduce those who have booked a whole table-space to a half-space, if we are overwhelmed with bookings.

Booking is open to non-members of STA as well as members; the same cost for all for simplicity.

Because Saint Hill is close to East Grinstead and thence to the M25, we are promoting this to potential stand-holders and visitors in Surrey, East and West Sussex, west Kent, and south London above the M25.  Please feel free to pass on all these details to anyone you think might be interested.

ENCOURAGEMENT
Visitors need encouragement to attend.  STA gives attendees a Trade Pass.  Please consider what offers, what discounts, you can offer on the day - we will publicise beforehand.  One suggestion is that you make it known in advance that if a group makes a definite booking for a group visit to you at this event, including some payment, they might receive a discount, say 5 or 10% ?

Saint Hill Manor will be offering free guided tours of the Manor during the day, on the half-hour every half-hour.  If there are attractions nearby who might also offer free admission to attendees at some time that day or week-end, then that's an added inducement to come.

H & S; RISK ASSESSMENT AND PUBLIC LIABILITY INSURANCE
Saint Hill Manor has its own Risk Assessment for events such as this one.  There is also a certificate evidencing coverage of insurance for Saint Hill Manor.  The Church of Scientology has public liability insurance coverage for its locations and negligent acts.  Standholders and exhibitors should have their own liability insurance in place for their businesses and they should name the Church of Scientology as an additional insured on their policy, in the event they are negligent and they are sued along with Saint Hill Manor.

Relevant to this is the condition above that there will be no floor-mounted displays, no electricity supply by cables to table tops and there is no smoking in any of the buildings at Saint Hill Manor.  Hot drinks from refreshments are served in a separate area.

Other points noted by Saint Hill Manor:
Point 1: All fire exits are left accessible and fire doors are operational with easy access out of the Hall. 
Point 2: Any exposed electrical cables are to be covered with sufficient "cable tape" or matting to ensure that there is no opportunity for someone to trip over them.  [Since there is no supply to tables we do not expect this to apply for this event.]
Point 3: No stall to be situated on the stage, due to no railings on the stairs.
Point 4: Access to the Balcony containing lighting and sound equipment limited to trained Saint Hill staff only.
Pont 5: The refectory cafe must use standard “wet floor" and cleaning signs as access to public toilets is through the cafe.
